As a content services company, we help companies transform their content. This involves working with subject matter experts (SME) to rewrite and restructure legacy content. We have noticed,\u00a0that although authorities in\u00a0their role, SMEs often require guidance on how to provide effective feedback and comments when reviewing draft content. \u00a0We provide short training sessions before any transformation project. Here are a few tips SMEs can use to provide effective feedback.<\/p>\n
Introduction<\/strong>
\nProviding feedback is a critical part of the content transformation process. Providing effective feedback ensures review and rewrite time is well spent, and the review workflow is efficient.<\/p>\nWhat to focus on<\/strong>
\nTo boost the overall content transformation effort, it is important for SMEs to focus on high-value functions.<\/p>\n\n
\n\n\nAreas of focus<\/strong><\/td>\nQuestions to consider<\/strong><\/td>\n<\/tr>\n\n| Content veracity<\/td>\n | \n\n- Is the content accurate?<\/li>\n
- Does it say what it needs to say?<\/li>\n<\/ul>\n<\/td>\n<\/tr>\n
\n| Content sequencing<\/td>\n | \n\n- Does it flow appropriately?<\/li>\n
- Is this how the user would access the content?<\/li>\n<\/ul>\n<\/td>\n<\/tr>\n

What not to focus on
\n<\/strong>It’s important not to focus on<\/p>\n\n- \u201cwordsmithing\u201d or trying to improve the style or tone, unless the content is inaccurate<\/li>\n
- \u201cformatting\u201d or how something looks, as the output can change according to project and publishing requirements. Especially when working in XML!<\/li>\n<\/ul>\n
\nTips for giving feedback
\n<\/strong>In some cases, content is provided by a predefined subject area grouping.<\/p>\n\n- Review all topics in the group to understand what information is documented and ensure that it is complete.<\/li>\n
- Look for\n
\n- content accuracy<\/li>\n
- gaps in information<\/li>\n
- missing content<\/li>\n
- questions from the writer<\/li>\n<\/ul>\n<\/li>\n
- Write feedback in a comment and include\n
\n- answers to questions<\/li>\n
- missing context<\/li>\n
- corrections to terminology<\/li>\n
- missing information<\/li>\n<\/ul>\n<\/li>\n
- Contact the writer to discuss any topic, if unsure of how it fits or the approach the writer has taken.<\/li>\n<\/ul>\n
\nGuidelines for effective comments
\n<\/strong>Effective comments are<\/p>\n\n- clear<\/li>\n

- directional, and<\/li>\n
- complete.<\/li>\n<\/ul>\n
\nClear vs. unclear comments<\/strong>
\nTo be clear, comments must<\/p>\n\n- deal with one point at a time, and<\/li>\n
- use clear language.<\/li>\n<\/ul>\n
Examples<\/em><\/p>\n\n\n\nUnclear comment<\/strong><\/td>\nClear comment<\/strong><\/td>\n<\/tr>\n\n| This doesn\u2019t quite work because numerous factors are involved and you haven\u2019t grasped the true process.<\/td>\n | \n\n- You need to include these factors: \u2026<\/li>\n
- Refer to xyz to see where this fits in the full process.<\/li>\n<\/ul>\n<\/td>\n<\/tr>\n
\n| Employees may do this at various times.<\/td>\n | \n\n- Does it flow appropriately?<\/li>\n

\nSpecific vs. non-specific comments
\n<\/strong>Specific comments provide detail and help the other party understand what you mean the first time. Non-specific comments are vague and non-commital. Using specific comments save significant time and frustration.<\/p>\nExamples<\/em><\/p>\n\n\n\nNon-specific comment<\/b><\/strong><\/td>\nSpecific comment<\/strong><\/td>\n<\/tr>\n\n| This doesn\u2019t make sense.<\/td>\n | It\u2019s not clear what you mean by \u201caction the form\u201d.<\/td>\n<\/tr>\n | \n| This is quite vague.<\/td>\n | “Complete all forms\u201d is too general. \nDirectional vs non-directional comments
\n<\/strong>Comments must direct the writer on what the content should say that it does not already say.<\/p>\nExamples<\/em><\/p>\n\n\n\nNon-directional comment<\/b><\/strong><\/td>\nDirectional comment<\/strong><\/td>\n<\/tr>\n\n| This doesn\u2019t quite work as is.<\/td>\n | This needs to state that the completed form must be forwarded to these three parties.<\/td>\n<\/tr>\n | \n| This is not correct.<\/td>\n | The front line employee no longer creates a manual invoice.
